Your Privacy Matters
SWForce Business Automation collects information so we can respond to inquiries, run automation discovery sessions, prepare project notes for human review, and improve the reliability of our website and services.
Information We Collect
We may collect information you provide directly to us, including:
- Name, email address, phone number, company name, and project details.
- Messages, contact requests, scheduling details, uploaded or emailed materials, and other inquiry content.
- Automation discovery conversation messages, AI responses, project summaries, project preferences, liked or rejected ideas, and requested next steps.
- Project passphrases used to reconnect discovery sessions. Passphrases are stored as cryptographic hashes, not plain text.
We may also collect technical and usage information, including:
- IP address, hashed IP address, browser type, device information, language, referrer, pages viewed, session identifiers, and timestamps.
- Campaign and attribution parameters, such as UTM source, medium, and campaign values.
- Cookie, analytics, advertising, or conversion tracking data if those tools are enabled.
AI-Assisted Discovery
Our Automation Brainstorm tool uses SWForce-managed AI systems to help define project requirements, risks, scope, systems involved, and possible implementation paths. Discovery conversations are saved so you can continue a session and so Ed or another SWForce team member can review the project before any real-world work begins.
Do not submit passwords, API keys, private keys, payment card information, Social Security numbers, regulated health information, or unrelated sensitive personal data through the discovery tool. If you need to discuss sensitive systems, describe them at a high level and we can arrange a safer review process.
We do not intentionally submit discovery conversations to public commercial AI systems for third-party model training. Production AI infrastructure may change over time, but the goal of this tool is private project discovery for SWForce review and customer follow-up.
How We Use Information
We use collected information to:
- Respond to inquiries, schedule calls, and communicate about requested services.
- Save, verify, and continue automation discovery sessions.
- Prepare project briefs, recommendations, and follow-up notes for human review.
- Operate, secure, troubleshoot, and improve the website, AI discovery tool, and related systems.
- Measure marketing performance and understand which campaigns or channels drive inquiries.
- Send service-related communications and, where appropriate, business development follow-up.
Cookies, Analytics, and Advertising Tools
We may use cookies, analytics tools, pixels, tags, and similar technologies to operate the website, understand usage, measure advertising, and improve marketing. These may include tools from providers such as Google, Meta/Facebook, LinkedIn, X, Calendly, Microsoft, or other service providers.
If we use advertising pixels or conversion tracking, those tools may help us measure visits, form submissions, scheduling activity, or ad performance. They may also support remarketing or custom audience features where allowed by law and platform policy. You can control cookies through your browser settings and, where available, through platform privacy and advertising preference tools.
Third-Party Services
We use service providers to host, operate, schedule, communicate, analyze, advertise, and support our business. These providers may process information on our behalf or according to their own policies when you interact with their services. For example, scheduling through Calendly or interacting with a social media platform may be governed by that provider's terms and privacy policy.
How We Share Information
We do not sell discovery transcripts as a standalone product. We may share information:
- With SWForce personnel who need it to review, respond to, or deliver requested services.
- With service providers that help us operate the website, scheduling, email, hosting, analytics, advertising, security, or automation systems.
- When required by law, legal process, security needs, fraud prevention, or to protect rights, users, or systems.
- In connection with a business transfer, merger, acquisition, or reorganization, subject to appropriate protections.
Data Security and Retention
We use reasonable technical and organizational measures to protect information against unauthorized access, alteration, disclosure, or destruction. No online system can be guaranteed completely secure. We retain information for as long as needed for the purposes described in this policy, to maintain business records, resolve disputes, improve services, and comply with legal obligations.
Your Choices and Rights
You may ask us to access, correct, delete, or stop using certain information, subject to reasonable identity verification and legal or operational limits. To make a request, use the SWForce contact page.
Children
This website and the Automation Brainstorm tool are intended for business users and are not directed to children under 13. Do not use the discovery tool if you are under 13.

We may update this policy from time to time. The updated version will be posted on this page with a new effective date.
